Registration Information

What is Smart registration?
Smart Registration is a program that attempts to put the maximum number of students into their top-choice courses. Unlike traditional, first-come, first-served registration procedures, Smart Registration does not register you into your classes as soon as you enter your course preferences. Instead, it waits until all preferences have been entered and then processes all requests at once, searching for a distribution that puts the most number of students into the highest choice courses. The registrar's office runs the Smart Registration program in two passes, registering seniors first, and then registering first-years, sophomores, and juniors together.

When is Registration?
Advising and Registration Days usually run from Tuesday of 6th Week through the end of 7th Week; you must have entered your course preferences into the system by the end of this period. (View the Advising and Registration Dates calendar.)

What do I do to register?
  • Think about the courses you would like to take, including courses that might meet general education distributional requirements and courses that would be appropriate for a major, minor, or concentration.
  • Fill out a Smart Registration Worksheet or work from the most recent Smart Audit you received from the Registrar. Do not forget to identify alternates for your courses. You should provide multiple alternates for the same course unless you are very confident that it will not fill. Leaving out alternates does not increase your chances of getting into a particular course.
  • Meet with your advisor. After your meeting, your advisor will clear you for registration online.
  • Register your course preferences online by filling in the Smart Course Preference Form. If you have been pre-registered into a course, then you should see the course already filled in on the Course Preference Form. You can choose to drop a pre-registered course if you have decided not to take it.

Do I still need alternates?
The system is designed to help you get your first choice class if possible, but it cannot accommodate 60 students who are all vying for a spot in an 18-seat course. Alternates are always a good idea.

If I put my courses in online, then I'm registered for them, right?
NO. Smart registration must still run the preferences of all the students in your class. You may get everything you want, and you may only get one or two, depending on the popularity of the courses you picked. You should view your schedule when it's available and make use of the drop/add period, if necessary.

Why isn't space availability changing on the online schedule?
Because you aren't being registered in real time. Your preferences will be collected and shuffled, and sometime later the actual registration by the Registrar's Office staff will occur. You will be informed when schedules are up for viewing at Academic Records Online, and then you can drop/add as necessary.

Why can't I choose the section of the course I want?
The system will put you into any section that does not conflict with your other two courses. Students cannot choose sections because the system was designed to accommodate the majority of student needs. Putting you into the 8:30 time slot may help three other students get the schedules they need. You can always fix it during drop/adds, space permitting.

Do I need my advisor's signature?
Your advisor will show their approval of your schedule by clearing you to enter the online system. During drops and adds, we do require an advisor's signature, except for seniors and except for students switching between two sections of the same course -- see below for more about dropping and adding courses.

Registering for Music and PE Activities
You may register for Music and PE Activities via your ARO account. Sections are filled on a first-come, first-served basis. Also, drop/add will end each quarter on the last day of exams week and does not reopen until week one of the following quarter, so be sure to register for for your Music and PE before you leave campus for fall, winter or summer break.

Registering for an Underload or Overload
If you wish to "underload" (take two courses) during a given quarter, you should sign up for the special "dummy" course of XXXX 001 as your third course. If you wish to "overload" (take four courses) during a given quarter, sign up for the fourth course using a Drop/Add form and file an Overload Form with your advisor's signature during the Drop/Add period. Remember to submit your three most important courses to Smart, because some courses will fill up. Restrictions apply to requests to overload, including students will be added to an overload course on a space available basis at the discretion of the Registrar.

Registering for a SIP, an Independent Study, or an Inter-Institutional Course
Any course that requires a separate registration form cannot be entered in Smart registration. To be officially registered for your SIP, you must use the SIP registration form (due week 10 of the quarter prior your intended quarter of registration), which includes the type of SIP, number of units, signatures of your supervisor and academic advisor. Changes to SIP registration information, including dropping or adding a unit, or quarters of enrollment, must be done on a SIP change form. NOTE: If you filed your SIP registration form with your department, you are not officially registered.

To register for an independent study, you must fill out an independent study form, which includes your subject, title, and the signatures of your instructor and the department chair. To register an interinstitutional enrollment, see the Registrar's Office.

Registering for Courses Credit/No Credit (seniors only)
Seniors are allowed to take one course as credit/no credit. They must turn in a credit/no credit form with their signature and the signature of the instructor of that course. The instructor will designate a lowest possible grade for credit in order for the student to receive credit. The deadline for credit/no credit is the Friday of first week. Once this date has passed, the option may not be added OR reversed.

Options When the Class You Want is Full

How do I go over the cap?
All course capacities are determined by the course department. The Registrar's Office can only register you over the cap with the express permission of the instructor (i.e. their signature on an add form).

Can I be put on a waitlist if a course I want is closed?
The Registrar's Office does not keep waitlists in our office. If there is a course for your major/minor or concentration that you are having difficulty getting into you should contact both your advisor and department chair for suggestions.
Adding, Dropping, and Withdrawing from Classes
What is the procedure for dropping or adding a course?
You can change your class schedule by adding or dropping courses anytime after your schedule is posted online until the end of the quarter. Drop/add is closed during fall, winter and summer breaks. To do so, fill out a drop/add form and bring it to the Registrar's Office. You must have your advisor's signature to drop or add unit-bearing academic courses. You do not need your advisor's signature if:
  • you are a senior,
  • you are dropping or music ensembles, music lessons, PE activities*, or
  • you are switching sections (times) for a course or lab in which you are already registered.
Music and PE activities may be dropped or added via ARO.
Registering for Courses From Study Abroad
How do I register for the courses I will take when I return from study abroad or domestic study away programs?
If you have access to Smart Registration from your study abroad or domestic program, you can participate in Smart Registration during the normal Advising and Registration Days. The only difference is that your interactions with your advisor will have to be via email. If you cannot fill out a Smart Registration course preference form from wherever you are, simply contact your advisor by email with your course preferences and have your advisor forward them, to the Registrar's Office.
