Email Distribution List and Alias Policy
The following are Kalamazoo College Information Services policies regarding
email distribution lists and aliases. The community will be notified of changes to these policies
via this document. Last updated June 2006.
System-wide Email Distribution Lists
A system-wide distribution list is one that is available to all users, including
non-Kalamazoo College users. System-wide lists must be approved by the
Kalamazoo College Information Services Systems department. Lists are
generally used to facilitate the sending of email to groups of people such as
a department or committee.
- Distribution lists may be requested by a faculty member, staff member,
or student organization.
- Non-Kalamazoo College email addresses will not be included in any list
if the corresponding person also has a Kalamazoo College email address.
- Requests for distribution lists must be submitted via email
and must include a list of all email
account names to be included in the alias. The submitter is solely
responsible for the accuracy of the list of names. Names which violate the
above policy statements will not be included.
"Personal" Full-Name Aliases
Kalamazoo College provides a full name email alias for each user with a
Kalamazoo College email account. For example, if the person's name is John
Q. Doe and their account is jdoe@kzoo.edu, then an alias will be created
that will forward any email sent to john.q.doe@kzoo.edu to jdoe@kzoo.edu.
- Only one personal alias per user is allowed.
- Please have any errors corrected before you start
giving out the alias to friends and family. The aliases are based on
your record in the College's administrative database.
- When your email account is deleted (due to leaving the College for some
reason), the alias will also be deleted.
- Conflicting aliases will be resolved by appending a number to the end of
the alias. For example, the first Jane L. Smith will be
jane.l.smith@kzoo.edu but the second person with this name will be
jane.l.smith1@kzoo.edu.
