About Photographs
The photographs in the Archives are one of its most heavily
used collections. Photographs document the history of the
College in a way that the written word cannot. Unfortunately,
photographs are far more fragile than most other archival
materials. They are particularly sensitive to acid, deteriorating
mounting and storage materials, and residual amounts of processing
chemicals on the image. But the greatest danger to photographs
is improper handling.
- Always handle photographs carefully. Wearing cotton gloves
will decrease the chance of scratching or of dirt and oils
on an individual's hands being transferred to the image.
- Never touch the face of a photograph or the emulsion side
of a negative. Always hold it by the edges or the underside.
Conservation of photographs can be an expensive and highly
sophisticated activity, often requiring expertise and facilities
beyond the scope of most archives, but preventive measures
will help prolong the life of the image.

Arrangement
All photographs in the Archives are stored separately from
other material. Because the origin of most photographs is
not known, the photographs are not arranged by RG#, but by
subject. A list of the subject headings follows this policy.
Photographs of individuals may be stored in one of two places
depending on the quantity of images of that particular person.
If there are fewer than three photographs of a person, the
photos are filed alphabetically by last name in folders covering
different sections of the alphabet (labeled "Individuals
by Alphabet" on the drawer). If there are three or more
photos of a person, they receive an individual folder. These
individual folders are arranged alphabetically in the last
file drawer for photographs (labeled "Individuals Personal
Folders" on the drawer).
The Archives does not create a separate catalog card for
each photograph in the collection. The collection is mainly
used through browsing the various subjects. However, a catalog
card is prepared for individuals as a record that the Archives
has at least one photo of that person. These cards are filed
in a separate file kept on top of the file cabinets housing
the photographs.
